Man and Van Northwood Health and Safety Policy

Man and Van Northwood is committed to providing a safe and healthy working environment for our employees, contractors, customers and members of the public who may be affected by our removal and transport activities. This Health and Safety Policy sets out our approach to managing risks associated with moving, loading, transporting and unloading goods for domestic and commercial clients.

Our aim is to prevent injury, ill health and damage to property by implementing sensible, proportionate measures and promoting a culture of safety awareness throughout the company.

Health and Safety Responsibilities

Overall responsibility for health and safety within Man and Van Northwood rests with the company management, who are responsible for ensuring that this policy is implemented, maintained and reviewed regularly. Management will provide appropriate resources, information and guidance to allow safe working practices at all times.

Supervisors and team leaders are responsible for day-to-day implementation of this policy on removal jobs, including briefing staff, checking vehicles and equipment, and monitoring safe work methods on site.

All employees and contractors have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. They must follow safety instructions, use equipment correctly, report hazards or incidents promptly and cooperate fully with health and safety procedures.

Risk Assessment and Safe Working Practices

Man and Van Northwood will identify and assess risks associated with our removal services, including lifting and carrying, use of vehicles, loading and unloading, working in clients premises and handling fragile or bulky items. Risk assessments will be carried out for typical activities and reviewed regularly to reflect changes in work methods, equipment or legislation.

Where necessary, site specific assessments will be made before or during a move, taking account of access routes, stairways, lifts, parking, weather conditions and any special requirements of the property or client. Control measures will be put in place to reduce risks to an acceptable level, and staff will be briefed on these measures before work starts.

Safe systems of work will be developed and followed for key tasks such as lifting and carrying furniture, disassembling and reassembling items, securing loads in vehicles, using moving equipment and working in confined or shared spaces.

Manual Handling and Use of Equipment

Manual handling is a core part of removal work and can present a risk of injury if not managed effectively. Man and Van Northwood will provide manual handling training to all relevant staff and promote safe techniques such as team lifting, use of mechanical aids and avoiding unnecessary carrying.

Suitable moving equipment, including trolleys, dollies, straps, blankets and protective coverings, will be provided and maintained in good condition. Staff must use these tools where appropriate and must not attempt to lift or move items that are beyond their capability or that cannot be moved safely without additional assistance or equipment.

Any damaged or defective equipment must be taken out of use immediately and reported so that repair or replacement can be arranged.

Vehicle Safety and Load Security

Our vehicles are central to our removal operations and will be maintained in a safe and roadworthy condition. Regular inspections and servicing will be carried out in line with manufacturer guidance and legal requirements. Drivers must perform basic pre-use checks and report any defects immediately.

Loads will be planned and packed to ensure they are evenly distributed, stable and properly secured using appropriate restraints and padding. Overloading is strictly prohibited, and items will be positioned to prevent movement during transit, minimising the risk of damage or injury during unloading.

Drivers must follow all road traffic laws, drive defensively and adjust their driving style to road, weather and traffic conditions, particularly when transporting heavy or fragile loads in local streets and surrounding areas.

Protection of Customers, Public and Property

Man and Van Northwood recognises its responsibility to protect customers, visitors and the general public from risks arising from our activities. Where work is carried out at clients premises, we will take reasonable steps to minimise disruption and hazards, such as keeping access routes clear, using floor and wall protection and clearly identifying potential trip or slip risks.

Staff are instructed to act with care and respect for property, avoiding unsafe shortcuts and ensuring that doors, gates, stairwells, lifts and driveways are used safely and left in a secure condition on completion of the job. When working in shared or public areas, consideration will be given to pedestrian movement and vehicle traffic so that loading and unloading can take place safely.

Training, Information and Supervision

We will provide appropriate health and safety training to all employees and contractors in line with their roles and responsibilities. This includes induction training, manual handling guidance, vehicle and equipment use, and instructions on incident reporting and emergency arrangements.

Information about risks and safe working procedures will be communicated clearly through briefings, written instructions and on-the-job demonstrations. Supervisors will monitor working practices and provide additional guidance where needed, particularly for new or inexperienced staff.

Accident, Incident and Near Miss Reporting

All accidents, incidents and near misses must be reported as soon as possible to enable investigation and to prevent recurrence. Man and Van Northwood will maintain appropriate records of reported events and will analyse them to identify trends, root causes and opportunities for improvement.

Where necessary, corrective actions will be implemented, and staff will be informed of any changes to procedures or equipment arising from investigation findings.

Welfare and Occupational Health

We are committed to safeguarding the physical and mental wellbeing of our staff. Work will be planned to avoid excessive hours and fatigue where reasonably practicable, and regular breaks will be encouraged during demanding moves or long driving periods.

Suitable rest facilities and access to drinking water will be provided where possible, particularly during extended jobs. Any health concerns related to work activities should be raised promptly so that reasonable adjustments or support can be considered.

Continuous Improvement and Policy Review

Man and Van Northwood will review this Health and Safety Policy on a regular basis and whenever significant changes occur in our operations, equipment or relevant legislation. Feedback from employees, contractors and customers will be used to improve our approach to health and safety and to ensure that our procedures remain practical and effective.

By working together and maintaining high standards, we aim to deliver a professional, reliable removal service while protecting the health and safety of everyone involved in or affected by our work.
